ODIN mainly handles and processes work-related information as the majority of the applicants apply for and receive funding or rejections with addresses etc. in relation to their work at Aarhus University or in companies and public organizations, which would like to participate in ODIN projects.
Our privacy policy explains, how we will process your data. The ODIN secretariat is the data controller and ODIN ensures that your personal data is processed in agreement with the legislation.
By submitting a funding application to ODIN, you give your consent to ODIN for processing your data, which is necessary to evaluate your application.
Your consent is voluntary and you can withdraw it at any time by contacting us. In that case, it is not possible for us to evaluate your application and your suggested project will not be considered for funding in ODIN.

The information, which we process about you, typically includes:
· Name, position, work address, work email and -phone number
· Personal data listed in your CV (e.g. education and professional experience)
The purpose with ODIN is to award minor funding grants to projects across Aarhus University and pharma- and biotech companies.
For this purpose, our evaluation panels must receive and evaluate project applications before they can decide, which projects are the most qualified.
Therefore, we collect and store your data in connection with:
- Handling and evaluation of your ODIN application
- Preparation of statistics about ODIN’s applications and grantees
- Preparation of statistics about the granted projects
ODIN only collects, processes, and stores data about you, which is relevant and sufficient to meet the purposes defined above. The purpose determines the type of data about you, which is relevant for our processing.
The ODIN secretariat verifies that the personal data, we process is neither incorrect nor misleading.
Your data must be correct and up-to-date in your application for ODIN to review it. We therefore kindly ask you to inform us about any relevant changes in your data – in case these may occur – while we are processing your application. You may use the contact information stated above in article 3 to inform us about such changes.
ODIN deletes your personal data when they are no longer required for the purposes, for which the collection, processing and storage of your data was performed.
ODIN only discloses personal data – in the form of the incoming applications – to our two evaluation panels and our Steering Group (please refer to article 2 above).
The applications will not be shared with anyone else and ODIN will not use your personal data in any other connection.

a. You have the right to be granted access to your personal data
At any time, you have the right to be informed about which data about you ODIN is processing, where it has been obtained, and what it is used for.
ODIN only processes data that we have received in the incoming applications.
You also have the right to be informed about how long ODIN stores your personal data and who receives data about you, in case that ODIN pass on your data in Denmark and abroad.
If you ask for it, ODIN can inform you about the data ODIN is processing about you. The access to this information may be restricted for the sake of other individuals’ privacy protection, trade secrets and immaterial rights.
You can make use of your rights by contacting the ODIN secretariat using the information in article 3.
b. You have the right to have inaccurate personal data corrected or deleted
If you believe that your personal data, which ODIN is processing, is inaccurate, you have the right to have them corrected. In that case, please contact us and state the inaccuracies and how to correct them.
In some cases, ODIN is obligated to delete your personal date. For instance, if you withdraw your consent (please refer to section 2). If you believe that your data is no longer necessary in relation to the purpose for which ODIN collected it, you can ask us to delete it. You can also contact ODIN if you believe that your personal data is processed against the legislation or other legal obligations.
When you contact ODIN with an inquiry to have your personal data corrected or deleted, ODIN will clarify if the conditions are fulfilled. If this is the case, the changes or the deletion will be carried out as soon as possible.
c. You have the right to take exception to our processing of your personal data
You have the right to take exception to our processing of your personal data. You can use the contact information stated in article 3 to send your objection. If your objection is legitimate, we will cease to process your personal data at once.
d. You have the right to complain to the Data Protection Agency
