Venue & practicalities

Venue

The symposium will take place in the Main Hall "Aulaen" at Aarhus University (building 1412) and "Vandrehallen" (building 1410), on Nordre Ringgade 4, 8000 Aarhus C.

Please hang up your poster upon arrival to the symposium venue on the available poster boards in the "Vandrehal" (building 1410). There will be pins and tape available.

The venue can be easily reached by taking a bus to the university, and getting off on the stop "Aarhus University/Nordre Ringgade", or the Letbanen L2, and getting off on the stop "Aarhus Universitet (Ringgaden)". You can plan your travel with the help from the Travel Planner
 

Participants dinner

The dinner will take place from 19:00 Thursday evening on 3 November at the Restaurant Smedien (Centralværkstedet, Værkmestergade 7, 8000 Aarhus C).

At the dinner, participants and speakers will have a chance to network, and will be served welcome bobles followed by a 2-course dinner (main course and dessert).

The dinner attendance costs 100 DKK
To attend the dinner, please register for the dinner in the symposium registration.

Bus-transport at 18:45 from the symposium venue to the restaurant will be organized for all dinner participants (included in the registration).

 

Corona precautions

There are no longer covid-19 restrictions in Denmark, but the COVID-19 virus is still around so therefore the general advice from the Danish health authorities should still be followed, and general infection prevention recommendations should be taken into account. There will be disinfectants in the rooms at the symposium venue and at the entrance.
Please notify one of the organizers, if disinfectants need to be filled up.

It is not required by law, or Aarhus University, to wear masks during large gatherings such as our symposium. We do however naturally welcome wearing masks during the symposium, if you wish to use one. Please bring your own face masks (limited masks will be available at the registration desk)

For the safety of all participants, we ask everyone to pay attention to symptoms of infection and take them seriously, if you feel any.
If you feel sick or have tested positive, please isolate yourself and refrain from going to the symposium.
 

Parking

If you are travelling by car, you can receive a parking permit for free parking during the symposium from the symposium organizers.

Please note that it can be difficult to find free parking spaces during weekdays on the Aarhus University campus.

Important: the parking permit is only valid for parking spaces covered by Aarhus University’s employee parking. The parking spaces are marked with black ParkZone signs with the heading “AU medarbejderparkering”.

WiFi

Aarhus University provides two wireless networks that can be used across the entire campus: Eduroam and AU-Guest.

If you do not have access to Eduroam through your research institution, you can access the university’s local WiFi, AU-Guest. 

Log-in to AU-Guest by selecting this network, and thereafter open your internet browser, which will display the log-in page for AU-Guest.

Sustainable initiatives

Green initiatives for catering

Lunches and refreshments during the symposium will be provided by Jespers Torvekøkken, which is a catering service that uses organic, seasonal and local ingredients whenever possible.

Participants are asked in the symposium registration, to select whether catering (lunches and dinner) with meat, vegetarian, or vegan, is preferred.

Jespers Torvekøkken is constantly working to improve the sustainability of their operations (biodegradable packaging, reducing food waste, and converting unavoidable waste into sustainable energy). Read more about the company's sustainable initiatives here (in Danish).

Photos during symposium & your personal data

We will collect and store the personal information that you submit as part of your registration. As part of the registration process, you can read more about which personal information we collect and why.

Photos will be taken at the symposium, only to be used in AU / EMBL / EMBO -related contexts and PR for the event. Please inform the photographer during the symposium, if you do not wish to be photographed.

"Centralværkstedet" is a railway workshop founded in 1862, it was permanently closed in 2009. Even though the buildings have left their workshop days behind them, the aesthetically pleasing raw look of Centralværkstedet draws positive attention. It is a building with lots of character and "big city"-charm like no other. A lot of the original details have been kept, like the doors and floors, which adds to the characteristics of the place and makes it great for dinners and parties. 

Restaurant "Smedien" is made up of the perfect balance between intimate coziness and the raw design Centralværkstedet is known for. At Smedien you will find direct acces to a nice little yard perfect for a little air and chit chat between the delicious courses.
